Director of Events, Big Brothers Big Sisters of the Big Bend

The Director of Events serves as lead strategist for planning and execution of agency fundraising events. The Director helps the Chief Executive Officer and agency team create a multi-year plan for increasing corporate engagement which informs and supports the agency’s plans for sustainability and growth. This position has primary responsibility for planning and executing the agency’s signature events (i.e. Bowl for Kids’ Sake, BIG Bash) and other recurring and new events that engage business and stakeholder partners. In addition, the Director maintains existing and seeks new relationships with foundations and corporate contacts to position the agency to receive grants.

POSITION PURPOSE

The Director of Events serves as lead strategist for planning and execution of agency fundraising events. The Director helps the Chief Executive Officer and agency team create a multi-year plan for increasing corporate engagement which informs and supports the agency’s plans for sustainability and growth. This position has primary responsibility for planning and executing the agency’s signature events (i.e. Bowl for Kids’ Sake, BIG Bash) and other recurring and new events that engage business and stakeholder partners. In addition, the Director maintains existing and seeks new relationships with foundations and corporate contacts to position the agency to receive grants.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Setting and achieving, in close collaboration with the chief executive, multi-year and annual event revenue and engagement goals.
  • Developing and implementing a written plan for identifying, qualifying, cultivating, soliciting and stewarding potential business partners capable of giving annually.
  • Personally coordinating all aspects of event messaging, preparation and execution. Executes all follow up appreciation contact with sponsors.
  • Overseeing all operations and securing resources for events and corporate engagement opportunities.
  • Developing and implementing written strategies that align with agency branding and meet fundraising targets.
  • Determining how assigned business prospects will be solicited for their annual sponsorship and/or employee engagement. Developing long-term and healthy relationships with business partners and individuals within these businesses.
  • Fundraising expectations include at least $90,000 in event sponsorships. Responsible for additional revenues including silent auction, team makeup for Bowl for Kids’ sake, ticket sales for BIG Bash, and several smaller fundraising events throughout the year.
  • Engages and works closely with Board of Directors, specifically Marketing & Event Committees comprised predominantly of Board members.
  • Implementing metrics to evaluate the success of community activities.
  • Consistently collaborate with CEO and Program Director to ensure consistent messaging with the mission of our organization.
  • Create and execute follow-up strategy after each engagement activity, which includes: thank you communications; cost analysis and processing; consistent co-branding and partnership promotions.
  • Make and implement decisions about solicitation and communications methods, market segmentation, and social media utilization for donor and corporate outreach.
  • Maintain knowledge of Big Brothers Big Sisters of America (national) philanthropy opportunities and incorporate into fundraising plans, when applicable.
  • Delivering on high-quality business stewardship as promised, maintaining clean information systems (sponsorship and gift entry; data entry and data management; report generation), and generating prospect research.
  • Apply for various grants including those currently received by the agency as well as new possible grants. Must be aware of deadlines for application as well as follow up reporting and meet stated deadlines.
  • Meticulous calendar setting and attention to detail a must. Responsible for various print materials and representation of the agency both in print and verbal communication.
  • Participation in community networking groups.
  • Willingness to work early mornings, nights, and weekends. These flexible work hours are taken into accountant and should equate to on average, a 40 hour work week.
  • Serving as a vital member of the leadership team by staying abreast of organization-wide issues and contributing to the development and achievement of the agency’s long-term vision and short-term operating plans.
  • Developing and delivering insightful presentations and strategies to the community.
  • Collaborate with staff to implement recognition efforts for donors, volunteers and partners.
  • Supervise interns and/or staff as needed.
  • All other duties as assigned

 

EDUCATION & RELATED WORK EXPERIENCE

Education Level: (Bachelors Degree required.

Years of  Related Work Experience :

  • At least 5 years of experience in event planning, fundraising, marketing, public relations, and/or resource development or in appropriate transferable responsibilities. Preferred experience working with a Board of Directors.

 

Skills and Knowledge

  • Ability to communicate well both verbally and in writing, concisely with clarity, warmth, humor and tact. A writing and/or presentation sample will be expected prior to hiring.
  • Possess superb organizational and time management abilities.
  • Demonstrate an ability to work independently and as a self starter in a team-oriented environment and work congenially with staff, Board members, donors, adult volunteers, youth, and others
  • Demonstrate an ability to organize complex materials, manage more than one project at a time, and communicate comfortably in a professional setting.
  • Must work with a high degree of flexibility, accuracy, and attention to detail in a fast-paced environment with numerous deadlines and pressures.
  • Have professional maturity to respond to urgent matters and/or crisis situations, as needed.
  • Must demonstrate proficiency in Microsoft Office, including Word and Excel.
  • Have working knowledge of donor databases and/or managing lots of donor data.
  • Must demonstrate proficiency with web-based performance management and communications/social media tools.
  • Demonstrate experience of designing sponsorship materials, and messaging publications.
  • ADVANCED skills with all Microsoft Office products (Outlook, Word, Calendar scheduling, Excel, PowerPoint)
  • Additional skills with web based platforms, databases, mass email communication systems.

 

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS:

Must have reliable transportation, must be able to travel to all service delivery areas in the surrounding eight counties, must be able to lift boxes and materials when transporting for events, must be able to move tables/chairs to set up meeting spaces, must be able to work on a computer for many hours throughout the work day.
